NOTE: This is an actual exercise I do with corporate organizing clients. It works like a charm to help them understand how valuable this organizing process can be for their success! Here's how it goes... Imagine that your eight hour workday is represented by a 2-quart Rubbermaid container. It has a limit to its capacity. It can only hold so many things. You cannot expand your day. Now imagine all the work that flows into your day — tasks, phone calls, emails, meetings, paperwork, appointments, projects, etc. — is represented by a bunch of Duplos (those oversized Lego-style blocks for kids). Each individual Duplo block represents one thing that flows into your day. There are so many Duplos that they're literally overflowing from your 2-quart 'day'. Your challenge is to get everything that flows into your day (all your Duplos) into the 2-quart container. Sounds easy, right? As a first step, imagine just dumping the Duplos into your 2-quart 'day.' Then imagine leveling off the top of the container so you can fit a lid on it. When I’ve done this exercise with clients they found that about 50% of the Duplos spilled to the ground, unable to fit into the 2-quart 'day.' This represents the haphazard way in which all sorts of things get dumped onto your day. All of those tasks, unexpected calls, interruptions, work, etc. make it tough to get everything done! Since there is a "lid" on your day, which is the time you need to go home, you need to make these items fit inside the container as though you put a lid on it. But what about that 50% of the Duplos (your tasks) that were never finished? Next, I ask the clients to use their creativity to come up with a way to get as many of these things (Duplos) as possible to fit inside their day (2-quart container). It's no surprise that this part represents how you can get more done in a day. Most people I run through this exercise stack the Duplos neatly together in the container side by side in order to fit more of them in. The process isn't necessary difficult, but it does take a little time. Usually about 20 minutes. We sit there in silence while they stack the Duplos. Most people are able to get the other 50% of the Duplos into their container. In other words, they figure out how to get ALL of the things that fall on their desk to fit into their work day — WITHOUT spending more time at work! Here's the secret to how my clients were able to get more things accomplished without increasing the size of his day...
